Homeroom Coordinators (HRCs) play a vital role in fostering classroom community and supporting Baker’s events throughout the school year. Serving as the link between the teacher, classroom parents, and the PTA, HRCs help organize classroom celebrations, coordinate class participation in schoolwide events like the Boo Bash, and manage optional group gifts for teachers. This role involves clear communication, creative planning, and ensuring activities align with school guidelines—helping make the school year engaging, inclusive, and memorable for students and families alike.

HRC Responsibilities

Baker Boo Bash– October 23, 2025

Baker's annual fall family fun event kicks off the school year and raises money for our beloved school! It is a fall-themed carnival with games, raffles, face painting, food trucks and more (most events are outside, weather permitting). Each class will collect themed items, baskets will be put together with the collected items and kids will have the chance to put their raffle tickets in the drawing for any basket at the Boo Bash. Fourth grade classes will collect donations for larger items to be raffled off. Baskets/items will be available for preview at school Oct 20th.

2 Raffle Baskets or 2-4 Gift Cards: $50-$200

Gather donations – Monetary (using Venmo or Pay Pal makes this easy!) or use an Amazon Wishlist for parents to shop
Completed raffle basket will be dropped off to the school front office

2025-26 Classroom Parties

HRCs are responsible for planning and coordinating classroom parties. Work with your co-coordinator and classroom parents to organize crafts, games, and other activities that adhere to school guidelines.

Scheduled Parties:

Harvest Party: Friday, October 31st
Winter Party: Monday, December 22nd
Valentine's Party (Kindergarten only): Friday, February 13th

Planning Guidelines:

Themes: Parties should reflect seasonal themes, excluding any and all religious symbols (e.g: pumpkins and leaves for Harvest, snowflakes and winter animals for Winter).
Activities: Plan crafts and activities that can be completed in 30-45 minutes. Books or music are also great options. Classrooms are usually broken into smaller groups and rotate through activities. You and your co-HRC may choose to coordinate with other HRCs in your grade or work independently.
Volunteers: Limit the number of party volunteers to 4 per party, and ensure all volunteers have current clearances. You will be asked to send your list of volunteers to ptavp.baker@gmail.com prior to the party date. Ms. Rooney will print badges at the front desk for all volunteers.
Note: Some classes may have an overwhelming response to the volunteer requests, while others may not. Please exercise fairness when selecting your volunteers and do not hesitate to reach out if you need help getting volunteers.
Party Start Times: Start times will be communicated closer to each event (typically around 1 or 1:30 pm). Kindergarten parties may have a different schedule, which will be confirmed soon.
Share Your Plan: Once you have it set, reach out to your teacher and let them know what you have planned. Confirm the class head count with the teacher before purchasing items for the party.
Health and Safety: Follow any health and safety precautions that may be in place. Consult with your teacher if you have questions about an activity or if any special accommodations need to be made.
No Food Policy: Please note that food is not permitted at classroom parties.

Budget and Reimbursement Details

Budget

Each class has a budget of $30 per party (Harvest, Winter, and Valentine's for
Kindergarten). We encourage you to be creative with your budget and make the most of it.

Please do not feel obligated to spend additional personal funds; the goal is to have fun and
create a memorable experience. The PTA closet has some items that can be borrowed for
parties, and this year we plan to ask the Baker community if they have seasonally themed games to donate or lend to our HRCs.

Reimbursement Process

Within two weeks of your event, please submit a completed PTA Reimbursement/Check Request form with a copy of your receipts to ptatreasurer.baker@gmail.com.

Class Gifts for Teachers

HRCs may organize class gifts for the teacher throughout the year. Parents often like the convenience of contributing to a group gift for an occasion such as during the holidays, at the end-of-year, or for their birthday.

Communication: Make sure to note in your email to parents that contributing to the class gift is completely optional and that the gift will come from the entire class regardless of who donates. Allow ample time for collection and consider sending a reminder or two to ensure all parents have the opportunity to participate if they wish.
Collection of Contributions: Contributions from parents and students are optional, but the gift should be presented as being from the entire class. Coordinate with parents on how they can contribute monetarily towards the group gift, whether through apps like Zelle, Venmo, or by sending cash with their child to school. Sometimes you may find ways to engage the students in a non-monetary group gift, e.g., ask them to send in a birthday card or color a picture.
What to Buy? and Your Teachers' Favorite Things List: An updated list of favorite things for each teacher will be shared soon. Use this to guide your gift selections, and feel free to ask your teacher additional questions that our survey may not have covered. Please share any additional questions you ask with ptavp.baker@gmail.com so we can update the teacher survey for next year.
Record Keeping: Keep a record of all contributions and expenses to ensure transparency. Email the class parents and cc: ptavp.baker@gmail.com to share the total amount collected, an itemized list of what was purchased and what each item cost, and include a photo.
